4. How we use information
| Purpose | Examples |
|---|---|
| Run events | Registration, rosters, check-in, divisions, jersey allocation |
| Safety | Emergency contact, allergy and medical information |
| Communication | Confirmations, schedules, venue changes, results |
| Media and rankings | Filming, streaming, highlights, evaluations, published rankings |
| Payment | Processing fees and refunds |
| Improve the Services | Analytics, troubleshooting |
| Marketing | Event announcements and content drops to parents who subscribe |
| Legal | Records retention, insurance, dispute resolution, legal compliance |
We rely on your consent for media publication and for sponsor contact sharing. We rely on contractual necessity for running the events you register for, and on legitimate interests for security, fraud prevention, and improving the Services.
5. How we share information
5.1 Publicly, as part of our media business
Athlete name, image, likeness, position, jersey number, grade, graduating class, city and state, team affiliation, statistics, evaluations, and rankings are published on T3TV properties, Top25Scouts, Hoop Verified, our social channels, and through media partners and credentialed outlets. This is the core of what we do and is covered by the Media Release.
5.2 With sponsors — parents only, opt-in only
If, and only if, you affirmatively opt in during registration, we may share with sponsors of that event:
- Your name
- Your email address
- Your city and state
- Your athlete's age band (a range, not a date of birth)
We do not share your athlete's name, date of birth, photograph, contact details, medical information, or profile data with sponsors, at any price, under any sponsorship tier.
Sponsors receive this list once, within five business days of the event, under a written Data Use Agreement that limits use to their own marketing and prohibits resale or transfer.
You can withdraw this consent at any time from your account or by emailing T3tv.youth@gmail.com. Withdrawal applies going forward; it cannot recall a list already delivered.
5.3 With service providers
Hosting, database, email delivery, payment processing, analytics, and photography and video contractors. They may access information only as needed to perform their function and are bound to protect it.
5.4 With venues and officials
Rosters and participant lists where required by a venue, insurer, or sanctioning body.
5.5 For legal reasons
Where required by law, subpoena, or court order; to enforce our terms; or to protect the rights, safety, or property of any person.
5.6 In a business transfer
If we are involved in a merger, acquisition, or sale of assets, information may transfer. We will notify you and any successor will remain bound by this policy or give notice before changing it.
5.7 What we never do
We do not sell personal information. We do not share children's personal information with advertisers or data brokers. We do not permit third-party advertising networks to collect information from our registration flows.
6. Children's information
Our Services are directed to parents and guardians, not to children. Children do not create accounts, do not have logins, and cannot submit information to us directly.
Information about athletes is collected from the parent or guardian who registers them.
For athletes under 13, our Children's Privacy Notice sets out what we collect, how we use it, and how you can review, export, or delete it. If you believe we have collected information directly from a child under 13 without parental consent, contact T3tv.youth@gmail.com and we will investigate and delete it.
7. Your rights and choices
Regardless of where you live, you can:
- Access — view everything we hold about you and your athlete, from your account area
- Export — download that information
- Correct — edit your details and your athlete's details in your account
- Delete — request deletion of your athlete's record. Requests are reviewed because we may need to retain registration, financial, insurance, and published-content records. We will tell you what we can delete and what we must keep, and why.
- Withdraw consent — for sponsor sharing, for marketing, and for future media use
- Unsubscribe — from marketing email, using the link in any message
Depending on your state, you may have additional rights under laws including the California Consumer Privacy Act.
[NOTE FOR COUNSEL: state-specific rights sections needed — CA, VA, CO, CT, UT, TX and others depending on where events are held and where participants reside. "Do Not Sell or Share" disclosures require review given the sponsor list, even though we treat it as consented sharing rather than a sale.]
To exercise any right, use your account area or email T3tv.youth@gmail.com. We will respond within [30] days.
8. Data retention
| Data | Retention |
|---|---|
| Account and athlete records | While your account is active, then [PERIOD] |
| Registration and attendance records | [PERIOD] after the event |
| Financial records | [PERIOD], as required for tax and accounting |
| Consent records | [PERIOD] after the consent ends, for evidentiary purposes |
| Waivers and releases | [PERIOD], aligned to the statute of limitations in each state where we operate |
| Published media and rankings | Indefinitely, unless removal is requested and agreed |
[NOTE FOR COUNSEL: waiver retention should be set against the longest applicable limitations period for a minor's claim, which in several states runs from the age of majority.]
9. Security
We use encryption in transit, hashed passwords, access controls, and audit logging. Athlete records are marked as minors' data and are excluded by default from any sponsor-facing export.
No system is perfectly secure. If a breach affects your information, we will notify you as required by law.
10. International
The Services are intended for users in the United States, and information is stored and processed in the United States. We do not offer the Services to users in the European Economic Area or the United Kingdom.
11. Changes
We will post any updated policy with a new version number and effective date. Where changes are material, we will ask you to review and re-accept the next time you sign in.
12. Contact
