Children's Privacy Notice

DRAFT — PENDING LEGAL REVIEW. NOT FOR PUBLICATION.

Version: 1.0 (draft) Effective date: [DATE]

This notice is written for parents and guardians. It explains, in plain language, what we collect about your child, what we publish, and what control you have. It applies to all athletes under 18, with additional protections for athletes under 13 under the Children's Online Privacy Protection Act (COPPA).

If anything here is unclear, email T3tv.youth@gmail.com before you register.

The short version

  • Your child does not have an account with us and cannot give us information directly. You enter everything.
  • We publish your child's name, photograph, video, jersey number, grade, class year, city and state, and basketball statistics. This is public. It is the core of what we do.
  • We never give your child's contact details, date of birth, or medical information to sponsors or advertisers.
  • You can see everything we hold, download it, and ask us to delete it.
  • You can say no to publication — but for most of our events, that means your child cannot participate, because every court is filmed.

1. We collect from you, not from your child

Only parents and legal guardians can create accounts. Athletes do not get logins, passwords, or email accounts with us. Every piece of information about your child reaches us because you typed it in.

We do not run chat, messaging, forums, comments, or user profiles that a child could use. We do not ask children for information at events beyond what is needed to check them in and keep them safe.

2. What we collect about your child

You provide:

  • First name, last name, and preferred name
  • Date of birth
  • Current grade and graduating class year
  • Gender
  • Jersey size
  • Allergies and medical notes, if you choose to provide them
  • Emergency contact details
  • Team, club, or program affiliation

We generate at events:

  • A jersey number
  • Check-in and attendance records
  • Photographs, video, and livestream footage
  • Game statistics and box scores
  • Written evaluations and a ranking

3. What we publish — read this carefully

This is the part most parents want to understand before registering.

Our events are filmed and livestreamed on every court. We produce highlight reels, photo galleries, recap films, and rankings. Media partners and credentialed outlets also film and photograph.

Published about your child, potentially permanently and publicly:

Your child is also issued a credential and player card at check-in carrying their name, photo, class year, and a QR code linking to their live profile.

What this means practically. Content can be found by search engines. It can be reshared by families, clubs, schools, media partners, and sponsors. It appears alongside sponsor branding. It may stay online indefinitely. Once it is distributed, we cannot fully retrieve it.

We publish this because it is the service. Exposure, evaluation, and ranking are what families come to us for. If you are not comfortable with your child being publicly identifiable in this way, do not register them.

4. What we never do

  • We never share your child's name, contact details, date of birth, photograph, medical information, or profile data with sponsors — at any sponsorship tier, at any price.
  • We never sell your child's personal information.
  • We never allow advertising networks or data brokers to collect information from our registration flow.
  • We never condition your child's participation on you disclosing more information than is reasonably necessary to run the event safely.

5. Sponsors get your details, not your child's — and only if you opt in

Sponsors of our events can receive a household contact list. It is optional, it is a separate checkbox, and it is never pre-ticked.

If you opt in, a sponsor receives: your name, your email, your city and state, and your child's age band — a range such as "12–14," never a date of birth.

Sponsors sign an agreement limiting the list to their own marketing and prohibiting resale or transfer. They receive it once, after the event.

You can decline and still register. You can withdraw later from your account.

6. Your rights as a parent

Under COPPA and our own policy, you can at any time:

Review — see everything we hold about your child, from your account area or by emailing us.

Export — download it in a readable format.

Correct — edit your child's details directly in your account.

Delete — ask us to delete your child's record. Submit the request from your account area. We review each request because some records must be kept — registration and payment history, signed waivers, and insurance records. We will tell you exactly what we deleted, what we kept, and why.

Refuse further collection — tell us to stop collecting new information about your child. This will usually mean they cannot participate in future events.

Withdraw media consent — for future content. This does not remove content already published or already distributed to third parties, and it will usually mean your child cannot participate in filmed events, which is all of them.

To exercise any of these, use your account area or email T3tv.youth@gmail.com. We will verify that you are the parent on the account before acting, and respond within [30] days.

7. How we protect your child's information

  • Athlete records are flagged as minors' data in our systems and are excluded by default from every sponsor-facing export
  • Passwords are hashed; data is encrypted in transit
  • Access is limited to staff who need it to run events
  • Medical and allergy information is visible only to staff with a safety role
  • Consent records are stored with a timestamp and the exact version of the text you agreed to

8. How long we keep it

We keep your child's record while your account is active and for [PERIOD] afterwards. Signed waivers are kept longer, for [PERIOD], because claims involving minors can be brought years later. Published media and rankings may remain indefinitely.

9. Third parties in our ecosystem

Top25Scouts and Hoop Verified publish athlete profiles, statistics, and rankings. Media partners and credentialed outlets — including national outlets and film and mixtape producers — attend our events and publish independently. Service providers handle hosting, email, and payments.

We do not control what independent media outlets publish about a public sporting event.

[NOTE FOR COUNSEL: relationship between T3TV, Top25Scouts, and Hoop Verified needs to be stated accurately — common ownership under Top25 Holdings, separate operators, or licensees. Whether they are "third parties" or the same operator materially changes the COPPA disclosure and consent analysis.]

10. Verifiable parental consent

[NOTE FOR COUNSEL — SIGNIFICANT OPEN QUESTION. COPPA's verifiable parental consent requirements are triggered by collection from a child. Our collection is from the parent, which is a stronger position. However, we publish identifiable minors' names, photographs, and locations, and our registrations begin at grade 1. Please advise whether the current mechanism — account creation, email verification, and per-event consent checkboxes — is sufficient, or whether a stronger verification method is required. Please also advise on state student-athlete, biometric, and minor-likeness statutes in each state where events are held, and on NIL implications of publishing minors' names and likenesses alongside paid sponsor branding.]

11. Changes to this notice

If we materially change what we collect, how we use it, or what we publish, we will notify you and ask you to review and re-accept before the change applies to your child.
