Sponsor Contact Sharing — Optional Consent
Version: 1.0 (draft) Effective date: [DATE]
This consent is OPTIONAL. Declining it does not affect your registration in any way.
The checkbox text
Short version shown next to the checkbox in the registration form. Must never be pre-ticked.
Share my contact details with event sponsors (optional) I agree that T3TV may share my name, email, city and state, and my athlete's age band with sponsors of this event. My athlete's name, contact details, date of birth, photo, and medical information will never be shared. Read the full terms
Full terms
1. What this is
Our events are funded in part by sponsors. Some sponsorship packages include a one-time list of parent and guardian contact details for families who have chosen to receive information from them.
This consent is how you choose whether to be on that list. It is entirely optional and entirely separate from your registration.
2. What is shared if you agree
| Shared | Not shared |
|---|---|
| Your first and last name | Your athlete's name |
| Your email address | Your athlete's date of birth |
| Your city and state | Your athlete's photograph |
| Your athlete's age band (e.g. "12–14") | Your athlete's contact details |
| Your athlete's medical or allergy information | |
| Your athlete's statistics, ranking, or profile data | |
| Your phone number | |
| Your ZIP code or street address | |
| Your payment information |
We share the household, not the child. We do not share minors' personal information with sponsors at any sponsorship tier, at any price, under any circumstances.
[NOTE FOR PRODUCT: the sponsorship deck currently lists "parent name, email, city and state, and athlete age band." This document must match that exactly. If the deck changes, this changes. Also confirm whether phone number is genuinely excluded — the deck does not mention it, so it is excluded here.]
3. Who receives it
Sponsors of the specific event you registered for, at Court level and above. Sponsors are commercial brands in categories such as footwear, apparel, nutrition, training, travel, insurance, banking, and technology.
You are not told in advance which sponsors will receive the list, because sponsorship is often confirmed after registration opens. You can ask us who received it after the fact by emailing T3tv.youth@gmail.com.
[NOTE FOR COUNSEL: is naming sponsors in advance required for informed consent? Consider whether we should publish the sponsor list for each event and update it as sponsors sign.]
4. How they may use it
Every sponsor signs a written Data Use Agreement before receiving the list. It requires them to:
- Use the list only for their own marketing
- Include an unsubscribe mechanism in every message
- Comply with the CAN-SPAM Act and applicable state privacy law
- Delete the list after [PERIOD]
And prohibits them from:
- Reselling, licensing, renting, or transferring the list
- Sharing it with affiliates, agencies beyond those executing their campaign, or data brokers
- Combining it with other datasets to build profiles
- Contacting any athlete directly
- Attempting to identify or contact minors
5. When and how often
The list is delivered once, within five business days of the event closing. It is not delivered on an ongoing basis, and sponsors do not get updates.
A separate consent applies to each event you register for. Consenting for one event does not consent you for the next, although we may show your previous choice as a default you can change.
6. Withdrawing
You can withdraw at any time from your account area or by emailing T3tv.youth@gmail.com.
What withdrawal does: removes you from any list not yet delivered, and stops future sharing.
What it cannot do: recall a list already delivered to a sponsor. Once a sponsor has the list, you will need to unsubscribe from that sponsor directly. We will tell you which sponsors received your details so you know who to contact.
7. If you decline
Nothing changes. Your registration proceeds identically. Your athlete's experience at the event is identical. We do not treat declining families differently in any way.
8. Is this a sale of personal information?
We do not consider this a sale. Sponsors pay for a sponsorship package, of which this list is one component, and the list is shared only with your affirmative, separate, opt-in consent under a use-restricting agreement.
[NOTE FOR COUNSEL: this characterization needs review under the CCPA and equivalent state statutes. Depending on the analysis, we may need a "Do Not Sell or Share My Personal Information" link and an opt-out mechanism regardless of the opt-in.]
9. Record of your choice
We record your choice with a timestamp, your IP address, and the version of this text you were shown. We keep that record so we can demonstrate what you agreed to. Changing your mind creates a new record; it does not erase the old one.
